Product & capabilities

What Notion AI is now

Notion AI is no longer mainly a writing assistant inside a notes app. In August 2026, Notion presents it as an AI operating layer across the workspace: Notion Agent can answer questions, create and edit pages and databases, and carry out multi-step tasks; Enterprise Search can search Notion plus connected services; Research Mode produces longer reports; AI Meeting Notes captures and summarizes meetings; and Custom Agents can run recurring or triggered work in the background.12

The product is also explicitly model-agnostic. The current Agent model selector includes Claude Fable 5, Claude Sonnet 5, the newest GPT models, Gemini and Grok, with Auto routing available. That means Notion AI should be reviewed as an orchestration and workflow product, not as if it were a single proprietary foundation model.23

This is a desk review. AiToolMap did not run a controlled Notion workspace, record meetings, deploy Custom Agents or compare model routes first-hand. The conclusions below are based on current first-party documentation and a substantive audit of every member of the fixed 50-source AiToolMap panel.

Agent and model routing

Notion Agent can use workspace context, connected apps, files, the web and connected MCP servers. It can perform multi-step tasks rather than only returning text. Users can leave routing on Auto or select among current supported model families.2

That flexibility is valuable, but it complicates evaluation. A Notion answer produced with Claude Fable 5 is not equivalent to one routed through another model, and some models have different workspace-context or data-handling behavior. AiToolMap therefore does not import standalone Claude, GPT, Gemini or Grok leaderboard results into Notion AI's product score.

Notion's own current documentation says Claude Fable 5 is intended for in-depth research, complex writing and multi-step work, while Claude Sonnet 5, current GPT models, Gemini and Grok are also selectable. Auto remains the recommended default.23 The practical benefit is optionality: Notion can change underlying providers without forcing teams to move their workspace or context layer.

The risk is dependency. TechCrunch documented a June 2026 disruption in which Notion temporarily disabled Anthropic models after elevated failures in Opus 4.7/4.8 and restored them roughly 12 hours later.4 Multi-model choice can reduce lock-in, but it does not eliminate upstream outages.

Custom Agents and the move from assistance to automation

Custom Agents are Notion's clearest step beyond chat. They can run on schedules or triggers, access permitted workspace context and connected services, and perform repetitive multi-step work. Every run is logged, admins can control who creates agents, and changes are designed to be visible and reversible.3

Current pricing separates this always-on automation from the core Business-plan AI bundle. Notion Agent, AI Meeting Notes and Enterprise Search are included in Business and Enterprise; Custom Agents consume Notion credits at $10 per 1,000 monthly credits, with consumption depending on task complexity.13

InfoWorld's current platform reporting adds an important architectural detail: Notion is pairing probabilistic agents with Workers for deterministic custom code and workflow execution. That is a sensible design for enterprise automation because not every step should depend on LLM judgment.5

VentureBeat's January 2026 engineering report provides a useful view into agent design. Notion simplified prompts and tool menus and described roughly 100,000-150,000 tokens as a practical context sweet spot, arguing that more context can worsen latency and accuracy.6 This is company-derived engineering evidence rather than independent testing, but it shows that Notion is treating context selection as an optimization problem rather than simply maximizing token count.

Enterprise Search, research and connected context

Notion's strongest differentiation is not generic web search. It is permission-aware search across the workspace and connected systems. Current product documentation highlights Slack, Google Drive, GitHub and other connectors, with additional enterprise systems available depending on plan and rollout.1

Notion states that Enterprise Search honors existing permissions and cites sources. Its security documentation identifies OpenAI for embeddings, Anthropic for LLM queries and Turbopuffer for vector storage in the current search architecture, while emphasizing model-agnostic routing and zero-retention processing where specified.20

The Google Drive connector, for example, can index Google Docs, Slides, Sheets and uploaded Office/PDF files, with current documentation noting a 10 MB limit for uploaded files through that connector.21 For organizations already operating across Notion and Google Workspace, this is a meaningful practical advantage over assistants that require manual file uploads for each session.

AI Meeting Notes

AI Meeting Notes is integrated directly into the workspace and can capture system audio and microphone input across tools such as Zoom, Google Meet and Microsoft Teams. It transcribes meetings, generates summaries and action items, and makes the resulting information searchable inside Notion.22

The current help documentation labels the feature beta and limits full use to Business/Enterprise or eligible mobile subscriptions. The product supports 19 languages plus three beta languages according to Notion's current product page.2223

The integration advantage is clear: meeting outputs can flow directly into projects and databases rather than ending in a separate transcript silo. The limitation is evidence. The fixed panel does not contain a strong independent benchmark of current Notion Meeting Notes transcription or action-item accuracy, so AiToolMap does not claim it is more accurate than dedicated meeting assistants.

What current users say

The overall Notion product has unusually strong large-sample ratings. Apple shows about 4.8/5 from roughly 90,000 ratings; Google Play shows about 4.6/5 from roughly 375,000 reviews and more than 10 million downloads.1516 These are broad-app signals and should be treated accordingly.

G2 reports about 4.6/5 from 13,833 reviews. Gartner Peer Insights reports 4.5/5 from 253 ratings, with 4.7/5 for product capabilities and 4.4/5 for service/support. TrustRadius reports 8.7/10 from 1,181 reviews and ratings. Across these sources, common positives are centralization, customization, knowledge management and workflow flexibility; recurring negatives include learning curve, performance in large workspaces, complex navigation and pricing.111213

SoftwareReviews is more directly relevant because its current Notion page sits in the AI Writing Assistants category. It reports an 8.8/10 composite, 9.1/10 customer experience, 89 likelihood-to-recommend and 99 plan-to-renew from 75 reviews.10 Even here, the relationship still includes the wider Notion product, so AiToolMap treats it as the closest available AI-category signal rather than a pure Agent benchmark.

PeerSpot's smaller population gives Notion 4.1/5 from 35 reviews with 95% willing to recommend. One current reviewer specifically says the agents are not yet quite on point, while broader feedback again praises centralization and flexibility.14

Trustpilot is the negative outlier at roughly 2.3/5 from 427 reviews, with 43% one-star in the captured audit. Current complaints include billing/support friction, complexity, performance and some AI misunderstanding or hallucination complaints.24 Under AiToolMap v1.8, Trustpilot is qualitative only and its numeric rating is excluded from the final rating equation.

Pricing & access

Pricing and value

Notion's current reference pricing is Free at $0, Plus at $10 per member/month, Business at $20 per member/month and Enterprise at custom pricing. Free and Plus receive limited Notion AI trial capability; Business is the main full-AI tier and includes Notion Agent, AI Meeting Notes, Enterprise Search and other core AI features.18

This pricing is attractive if Notion is already replacing a wiki, project tool, knowledge base and some specialized AI utilities. It is less attractive if a buyer wants only a standalone chatbot. At $20 per seat, the economic case depends heavily on using the surrounding workspace.

Custom Agents introduce a second cost layer at $10 per 1,000 monthly credits. Credits are shared across the workspace and consumption varies with task complexity.3 That usage-based model is reasonable for background automation, but it makes autonomous-workflow cost less predictable than the headline Business subscription.

Tom's Guide's current cancellation decision illustrates the fit issue well: Notion AI can be powerful, but if the user does not already live in Notion, the bundle can feel like an additional system rather than a simplification.19

Evidence & trust

Privacy, security and governance

Notion says that, by default, neither Notion nor its AI subprocessors use Customer Data to train models. It says customer data sent to AI providers is encrypted in transit, permissions are respected, and customer accounts are segregated during AI processing.25

Enterprise receives stronger provider-retention guarantees: current pricing and security material state zero data retention with LLM providers for Enterprise workspaces.1820 Notion also advertises SOC 2 Type 2 and ISO 27001, with AES-256 encryption at rest and TLS 1.2 or greater in transit.26

There is an important model-specific caveat. Notion's current Custom Agent documentation says Anthropic may retain prompts and responses for Claude Fable 5 for safety and reliability purposes; that model therefore requires explicit admin enablement. Other currently available Notion models are described differently.3 Buyers with strict retention requirements should treat model selection as part of governance, not merely a quality preference.

Agents also increase the importance of permissions. Notion says Custom Agents follow workspace permissions, log runs and make changes reversible, while admins can disable agents and control creator access.3 That is the right control direction, but organizations should still scope access conservatively because agentic errors can propagate through real workspace content rather than remaining in a disposable chat.

Reliability and maturity

Notion is a mature productivity platform, but its newest AI surfaces are moving quickly. The user-review base for the core product is large and broadly positive, while the newer agent layer has less independent longitudinal evidence.

The June Anthropic-model incident is a concrete reminder that model-provider reliability matters.4 On the product-strategy side, Engadget and The Register report that Notion is shutting down the standalone Notion Mail inbox in September 2026 and shifting users toward agent-managed email workflows; Notion says more than half of Mail users were already managing email through agents without opening the inbox.89 That is an unusually strong strategic commitment to agents, but the adoption figure is company-reported and the shutdown imposes migration costs on users who relied on the old product.

Who it's for

Who should choose Notion AI

Choose Notion AI if Notion is already the place where your organization plans projects, stores knowledge, records decisions and collaborates. In that environment, the AI layer can reduce tool switching and exploit context that general assistants must retrieve through connectors or uploads.

It also makes sense for teams that want permission-aware enterprise search, integrated meeting notes and recurring agents under one admin surface.

It is less compelling as a pure standalone-chat purchase. If your team works mainly elsewhere, a frontier assistant plus targeted integrations may deliver more direct value without requiring a broader workspace migration.

Strengths & weaknesses

Strengths

Notion AI is strongest when context is already structured inside Notion. The assistant can use pages, databases, projects, meeting history and connected apps without forcing users to reconstruct context repeatedly.

It is also strong for teams that want one governed AI surface rather than a collection of disconnected tools. Model choice, permissions, enterprise search, meeting notes, research, agents and programmable extensions live under one administrative framework.12

Finally, the agent/developer direction is unusually ambitious for a mainstream productivity product. More than one million company-reported custom agents created by May, external-agent interoperability, MCP support and deterministic Workers all indicate that Notion is trying to become an execution layer, not merely an AI-enhanced document editor.4517

Weaknesses

The first weakness is dependence on the Notion ecosystem. If your team does not already store meaningful work in Notion, much of the contextual advantage disappears.

The second is evaluation ambiguity. Most large external ratings score Notion overall; they cannot tell a buyer how often Agent completes a complex task correctly or how accurately Meeting Notes captures a difficult call.

The third is cost complexity. Business is simple at $20 per member/month, but persistent agent automation introduces credit consumption on top.183

The fourth is provider complexity. Model choice is a strength, but different providers can have different capabilities, outages and retention rules. The June Anthropic disruption and the special Fable 5 retention disclosure both show why organizations need to know which route is actually being used.43
